TERM February 2023 - November 2023


TED Conferences is seeking a Contractor to develop and implement the overall in-kind partnerships strategy, leading outreach, in-kind partner acquisitions, and delivering an impactful and operationally sound distribution plan for TED’s upcoming conference events (TED2023 and TEDWomen 2023). The Contractor shall focus on: (i) gifts for the general gifting program, (ii) speaker gifts, and (iii) restroom amenities. In addition, Contractor shall seek budget-relieving opportunities across key conference-related TED programs (i.e., restore lounge, activations, technical equipment, etc.).


The Contractor; Gifting + In-kind partnerships is a dynamic, experienced and self-motivated individual with the primary mission of fulfilling the full cycle of gifting and in-kind opportunities and processes in support of TED’s world-class conference events. You have substantial working knowledge of the events industry and are an experienced account manager, comfortable and confident in sales and partnership acquisitions. You have a passion for innovation, relationship management and an eye for excellence. 


As Contractor; Gifting + In-kind partnerships, you can expect to work on everything from CRM and account management, data entry and database management, monitoring trends and innovations, pitching partnerships, developing distribution and outreach strategies, to working closely with key internal stakeholders to realize the needs for in-kind opportunities.


RESPONSIBILITIES 


End-to-end project management of the in-kind program.

Strategic development: Development and implementation of in-kind partnerships; strategic planning in line with established targets; provide direction and interpretation through the lens of the TED brand and identity; foster positive partner relationships by providing follow-up and post-event reporting in an effort to create multiyear, or multi-event agreements.

Database management: Using Airtable, our team’s management system, provide regular and consistent tracking of donor/partner lead information + targets, detailing the engagement cycle, including submitting quarterly progress reports; provide presentations and documents as required; and provide work-in-progress reports to the in-kind working group to ensure alignment with TED’s brand and mission.

Liaise and collaborate with the Conference Operations and Communications teams (and other teams as required) to plan for shipping, logistics and onsite execution of all in-kind donations according to specific contractual obligations.

Advise on a value exchange strategy, ensuring a fair and equitable recognition of partners across programs.

Budget management: Development, maintenance, reporting, invoicing, and reconciliation.

Work with the in-kind photographer to ensure delivery of partner photos and manage in-kind partner social media request approval.

Critical path: Development of and strict adherence to project timelines and deliverables.

Community outreach: Responsible for engaging with local and international companies to obtain in-kind partnerships by way of email, in-person meetings and cold calling 

Research: Extensive research and vetting to ensure that all relationships with prospective companies meet criteria and align with our brand and mission.

Negotiation: Design and implement effective solicitation strategies that will identify and acquire high potential national and international partners.

Leadership: Develop a staffing strategy while training and leading onsite support staff.

Work onsite on conference production with a key focus on in-kind partnerships operations, photography and attendee services.

Maintain regular and succinct communication, scheduling meetings with project stakeholders and team members as required.

Willingness to contribute however possible to ensure the overall success of the position.



Qualifications

Degree or diploma in business, event management, project management or similar discipline, or equivalent relevant work experience.

5+ years experience in account management, sales or in-kind partnership acquisitions, with a demonstrated increase in responsibility.

A demonstrated aptitude for using bespoke project management tools and/or CRM softwares

Excellent verbal and written communication skills as well as interpersonal and negotiation skills, comfortable pitching partnerships to external stakeholders;

Strong analytical, strategic planning and creative problem-solving skills with a solution-oriented approach. 

Demonstrated ability to manage multiple projects, shifting priorities, and tight deadlines with attention to detail and the ability to work under minimal supervision.

A keenness and aptitude for working in deadline-oriented and fast-paced collaborative environments.

Must be proficient in: MS office, Google Docs, and Airtable.
